Key Tasks & Responsibilities:

  • Ensuring stores have the required equipment, and map out yearly plan for replacing or purchasing in line with budget and cash flow
  • Communicating information with mall teams ensuring Khaadi is served
  • Ensure Khaadi is present on all mall websites, directories and literature
  • Manage the mystery shop process – questions and feedback
  • Ordering and ensuring requirements for office supplies and equipment are met in line with best value purchasing and budget
  • Sourcing suppliers in line with best value purchasing model and budget for store supplies and office supplies such as printers, stationers,
  • Building relationships with external providers for maintenance, printing, office supplies, travel agents, hotels, conference centres etc and reducing costs through improved contract terms
  • Manage insurance contracts (business, vehicle) New and renewals with vendors – price negotiations, additions and deletions, reimbursements & claims
  • Management of facility contracts such as cleaning, maintenance, H&S, fire risk assessments, pest control, intruder alarm, CCTV & security – negotiating prices, renewals, vendor compliance with contracts
  • Assist in applying for all permissions for all stores and head office such as sales, stock audits, maintenance etc
  • Ensure H&S polices are up to date and in line with current legislation and mall requirements
  • Train staff in all H&S procedure
  • Deal with and record any H&S issues
  • Devising and maintaining office systems - using a range of office software, including email, spreadsheets, databases and shared drive documents
  • Produce timely and quality reports for maintenance, performance of providers, budget spending etc.
  • Oversee the general upkeep and organization of the office space
  • Booking flights and hotels for management & visitors travel in line with business travel policy
  • Maintain the B&M customer database ensuring it complies with GDRP and notify customers of any events using SMS services
  • Maintain the customer service email and report any customer service issues
  • Notify customers via SMS of any in store events such as sale or new collection
  • Assist in timely replacement of in store branding on direction of Brand Manager
  • Working within all Company policies and procedures
